Interim Reviews are used to record any information that has changed since the entry assessment. Some projects are required to record these quarterly or annually, while others record one every time they meet with the client (street outreach contacts) or when they find out information has changed. Whether it is a Quarterly Review, Annual Review, Housing Move-in Date, or just an Update, all Interims are recorded the same way.

Recording an Interim Review
- Go to the Head of Household's profile in the Clients section and click on the Entry/Exit tab
- One of the columns in this section says Interims. Click on the icon for your project entry
- A pop-up window will appear that shows all previous Interims (if any). Click Add Interim Review.
- Make sure all clients in the entry are selected on this screen.
- Then you will need to select an Interim Review Type:
- Annual Assessment- Use for yearly assessments with the anniversary date of the Project Start Date
- Housing Move-In Date- Use for all Housing Move-In Dates (HMID)
- Update- Use to record any changes in client income, non-cash benefits, insurance, or disabilities
- 90-Day Review- Use for quarterly reviews
- The Review Date should be the date you met with the client unless it is an Annual Assessment. Annuals are always dated the anniversary date of the Project Start Date, even if you conducted the assessment on a different day. Then click Save & Continue
- You will see a list of assessment questions. Make sure you review each question and update it if the information has changed! If the response is still accurate, you do not need to make any changes to that question. Remember that you should not change the information any HUD Verification tables; instead you will need to end date the out-of-date responses and create new ones.
- Once you have reviewed all assessment questions for all household members, click Save & Exit.
Housing Move-in Date
Housing Move-in Date is recorded by housing projects. The HMID should always be blank on the project entry, even if you house the client the same day as the project entry. On the date the client moves into the unit, record an interim review with an Interim Review Type of Housing Move In Date and enter the Housing Move-in Date.
Reminders:
- The HMID must be the date the client starts living in the unit, which might not be the same as the lease date. This prevents overlap with other project enrollments, like Emergency Shelter where the client may stay until they are housed.
- Annual reviews are based on the anniversary of the project start date, not the anniversary of the HMID.
Contacts
Contacts are recorded by adding a record of the Current Living Situation in an interim review. There are full instructions in the Street Outreach Workflow.
Report: Annuals for Active Clients
This report is within Business Objects, in the EntryExits - Move-In Dates - Interims - Follow-ups (post exit) folder. This report will show which clients have follow-up reviews, which clients still need them, and which clients will need them soon.
Important! ES, TH, RRH, PSH, and HP projects should run this report monthly
Click on the report title to open it. You will be asked to answer the following prompt:
Once the report has loaded, you will see a list of active clients in the project. Overdue assessments are shown in red, and upcoming are highlighted yellow.
