What New User Orientation Covers

New users are registered for the next available orientation date when they are given a license. Other users who would like a refresher can email the HSDHelpDesk@lanecountyor.gov or submit a ticket on FreshDesk to register for the orientation.


The purpose of New User Orientation is to help users understand how the system works, the importance of entering timely and accurate data, and how to get help when they have questions. It is not a workflow training. Because workflows vary so much depending on project type and funding source, agency admins provide workflow-specific training to their users.


Here are the topics covered in the training:

  • User agreement: data privacy, login requirements, law enforcement policy
  • General login (resetting password) and navigation, back date mode
  • ClientPoint
    • Searching for clients and adding new ones
    • Navigating client profile and updating demographics
    • Manage households
    • ROI and limited visibility
    • Create an entry and updating entry type
    • Overview of all questions included in PLUS form (longest form) and commonly missed questions like Client Location and Prior Living Situation
    • Updating HUD verification tables (income, disabilities, etc)
  • How to update and delete entries
  • Exits – how and when
  • Brief overview of other tabs on the client profile
  • Reports – how to run the CAPER and errors in sections 6a-6c
  • Tableau – how HMIS data is used and why accurate data entry is important
  • Overview of Lane County HMIS website
  • Who to contact when you have questions

 

NOT included:

  • Project-specific workflow information
  • ShelterPoint
  • SkanPoint
  • Detailed service transaction instructions
  • Interims, follow-ups, housing move-in date
  • ART reports
