Scans Workflow

The Scans function in WellSky allows users to create service transactions for a group of clients at one time.  If you do not have access to the Scans function, please email HSDHelpdesk@lanecountyor.gov.  


TABLE OF CONTENTS


When you first navigate to the Scans section in WellSky, you will see five header tabs along the top.  


Manage Client List(s)

The first part of this process is to create a Client List.  You will use the Client List to select who receives which services.  To create a client list, click on the Manage Client Lists tab.  The tab will open a table of the active Client Lists that already exist.  You can edit your existing lists by clicking on the pencil next to the List Name.  



To create a new Client List, you will scroll to the bottom left of the table and click Create New Client List.  A dialog box pops up, asking you to enter a List Name (your choice) and Choose Provider (use the Search button to select your agency).  Click Save & Continue.  

Your next step is to add the clients you want to your list.  A new dialog box pops up, asking for you to add clients by entering their Client ID or using the Search button to search by name.  


As you add clients, they will appear below on the Client List.  Save & Exit once your list is complete.  


Provide Service

Once you have a Client List, you can navigate over to Provide Service to give one service to all clients on your list.  You will complete the top of the form like you would any service transaction, making sure you update all required fields.  


It is also possible to apply funds towards the services at the bottom of the page.

  

Important! There are very few services that have the same cost for all clients.  In cases of utility and rent payments, please do not use the Scans function.  


Once you have completed all relevant service transaction information, you will click either "Choose Clients from Client List" or "Choose Clients from Unit List" (this second option allows you to give all clients checked into your SHELTERPOINT project a service transaction).  

When you click "Choose Clients from Client List," you will see a list of all Client Lists pop up.  First, click the + button next to the list you want to use. 



Then, you will see all clients in this list, and you will check next to their client number if they should receive the service.  

At the bottom of the page, you can also use the buttons to Check or Clear ALL Clients.  


Once you have chosen all the clients who should receive the service, click "Enter Service for Clients" at the bottom right of the dialog box.  You will see a confirmation message that your service has been successfully entered for your clients. 



Important! Please ensure that you are keeping your client list(s) up to date and are only selecting clients who have received the service. Please avoid always clicking "Check ALL Clients," unless you have recently updated the Client List and are sure all clients receivedthe service.  


Multiple Services

You can also use the Scans function to add multiple services for a client list.  This process looks very similar to providing one service, with a few key differences.  At the top of the page, you will still fill out your project name, service start date, and service end date.  

Below this, all possible service transactions for your project are listed.   At the top of the Service List, you can update Number of Services and Need Status for all services, and then click "Set All." 



Important! The Number of Services should only be 0 or 1 (service units can be more than one).  The Scans function automatically sets all service transactions to 1 service. You are free to document more than 1 unit.  To avoid errors, please ensure you choose the correct number of services to give all clients, and double check before submitting.


If there is a service on the list you do not want to give clients, there are a few ways to document this.  You can change the Number of Services to 0, click Remove to take the service off the list, or click Clear to show the Number of Services as 0 and clear the Need Status.  



Once you have confirmed all the services are correct, you will then Choose Clients from Client List again at the bottom of the page and follow the instructions above.  


Add Shelter Stay

Please do not use this function to add client shelter stays.  Please use the Shelters (ShelterPoint) function for client check in and check out, and refer to this helpdesk article: ShelterPoint Workflow.  


Generate ID Cards
