Enter Data As (EDA Mode)

Some projects require you to use the Enter Data As (EDA) workflow.

These projects typically serve youth under the age of 18, are projects that provide direct medical services such as billable health or dental care, or are projects where it has been determined that sharing the information would not benefit the client.



Important things to know

  • Some licenses are automatically set to enter all data in EDA mode. You can tell if you have this type of license by looking in the top left of your screen while logged in to HMIS. If it says Limited Visibility ADMIN, then your data entry is already locked down through EDA.


  • If your license does not sit under a limited visibility ADMIN provider, you must remember to switch to EDA mode any time you are recording information that should have limited visibility. Try to get in the habit of switching to EDA mode as soon as you login!
  • If you forget to use the Enter Data As (EDA) workflow outlined below, then the client’s Program Enrollment and Service Transactions will be visible to all Lane County Agencies who are using WellSky. If this happens, let your Agency Administrator know so it can be corrected.
  • If you are entering for a project in the Enter Data As Provider List, you still need to use EDA mode but you do not need to complete the ROI process for clients entered in this mode (client consent to share information to the other agencies using WellSky) because the system automatically sets the visibility for these projects by using the EDA workflow.

Entering EDA Mode

  1. Set your Enter Data As mode. Go to the upper right-hand corner of your screen. Select the Provider for EDA using the Enter Data As Project List on the last page of this document.
     
  2. If you create a new client, you’ll see the green icon in the upper right corner of the Client Profile. It is okay in these projects that the client record is unlocked. If you have a safety concern (this should be rare) then let your Agency Administrator know. 
  3. When you create an Entry/Exit or a Service Transaction, you’ll see the Visibility lock for both the Entry/Exit and the Service Transactions is LOCKED.
  4. Test it! Click on the locks (see next section)
    For new events created on or after 10/01/19, a red lock icon means there is reduced visibility to just your Agency. A green open lock means that the information is visible to the whole system. Older records have the red lock icon but are not necessarily locked.
    Lane County (OR-500)(3227) - Children Included = Global in records before Oct 2019.

Where to find the locks:

Entry/Exits

  1. Pencil edit your Entry/Exit start date
  2. Click Save and Continue
      
  3. Check the lock(s) in the list of Household Members Associated with this Entry / Exit. Newly created Entry/Exits will be red if locked. Click on lock to view visibility restrictions.

Service Transactions

  1. Click on the Service Transactions tab

  1. From the Service Transaction Dashboard, click on View Previous Service Transactions
  2. Make sure you are looking at Needs
  3. Pencil edit the Need (the need is automatically created when you add a new Service)
  4. Look at the lock to the right of Edit Need Newly created Service Transactions will have the red lock. Click on lock to view visibility restrictions.

Client Records

New clients created on or after 10/01/2019, you’ll see the green icon in the upper right corner of the Client Profile.
